Back to the board

Privacy policy

Last changed Oct 18, 2026. BreakdownBoard is a small North Carolina company.

1. What we collect

When you sign up: your name, email, and shop name. When your shop uses the board: machines, stops, reasons, minutes, notes, photos, and the names your people type on entries. Your card goes to Stripe and never touches our servers. Your people on the floor need no accounts, so we collect no logins, emails, or personal accounts from them. Suggestions from your team are saved with nothing that names who sent them. The shop's owner can read them. They never go into the comparison to shops your size.

The board also notes which of its screens get opened and on what day, how far setup got, and how the floor link was shared. If you answer one of our short questions by email (what you do at the shop, what you used before, how many people work there, what kind of work your shop does, or what got in the way), we keep your answer on your account.

Did you come to us from an ad, or from a link with a tag on it, like a post on social media? That link has a short code in it. We keep that code with your email when you ask to sign in. If you tapped a button on our website to get here, we keep the name of that button too.

Did you tap the button for the first 20 shops on our website? Then we keep a note of the tap with your email when you ask to sign in.

Did you open the demo board? Then we keep a note of it with your email when you ask to sign in. We use it only to see if the demo helps shops start a trial.

2. What we do with it

We use your data to run the board: show your dashboard, send your alerts and the weekly report, answer your support requests, and see where the board is hard to use so we can fix it. If you ask us to check in when you cancel, we send you two short notes. If you came from an ad, we tell Google or Bing which ad it was. Section 4 says how. If you open the demo board, we note it. That shows us if the demo helps shops start a trial. That's the whole list. We don't sell or rent your shop's data. We never use it to aim ads at you.

3. The comparison to shops your size

Each night the board puts one row of your numbers into a pool. The row has:

  • How long each machine was down.
  • How many times each one broke down.
  • What the downtime cost, per machine-hour.
  • How much Preventive maintenance is overdue.
  • Your size band and shop type, once you tell us.

It has no shop name, no machine names and no people. It has no customers or part numbers. No example data goes in. Shops see the pool only when 10 or more shops are in your group. Your group is your size band and shop type. The pool is figured once a month. It uses 90 days of rows, each at least a month old. The numbers are rounded, so no single shop can be picked out. A shop's rows count only from the day it was shown the choice: at the end of setup, in its first weekly report, or on Account. We never sell pool data, never show another shop's row to anyone, and never give pool data to insurers, lenders, customers or other vendors.

You can turn it off in Account at any time. New rows stop, and your past rows are deleted right away. Backup copies roll off on our host's own schedule. The numbers shops see now stay up until the next month. A shop that turns it off does not see how it compares. Turn it back on, and it will.

Your answers to our short questions are never shown to other shops. Your size band and shop type only decide which shops yours is compared to. Your other answers (what you do at the shop, what you used before, what got in the way) and the record of which screens get used never go into the pool and never appear in a comparison.

4. Who touches the data

The companies that run our infrastructure process data for us: Supabase (database, US), Vercel (hosting), Stripe (payments), and Resend (email). Each gets only what its job needs. Report a problem messages go to an AI service provider. It works for us under a contract. It may not use them to train its AI. It deletes its copy within 30 days. It may keep one longer if it thinks the message breaks its rules. We keep messages as long as your account, then delete them with it. If you ask us to load a spreadsheet or set up your board, BreakdownBoard support opens your shop to do it. Every visit is logged, and anything we load is marked in your import list so you can undo it.

If you came from an ad, we send that code and a scrambled copy of your email to Google or Microsoft when you start a trial. We send them again when your shop logs its 5th stop. That tells them which ad worked. A scrambled email can still be matched to you. Google or Microsoft may match it to an account they have. We do this only to count which ads work. We never use it to build ad lists or to follow you around the web.

5. Emails

We send the emails the board is for: alerts, the weekly report, and account notices. If you're on our list from a template or the calculator, we send a short note about once a month, and every one has an unsubscribe link that works. If you ask us to check in when you cancel, we send up to two short notes. Each one has a link to stop them.

6. Cookies and ad tags

Only what keeps you signed in and keeps the site working. Did you come from an ad, a tagged link or a button on our site? Then one more cookie notes it. It lasts 90 days. If you tap the first 20 shops' button, one more cookie notes it. It lasts 30 days. If you open the demo board, one more cookie notes it. It lasts 30 days. The app has no ad tags.

Our website is not the app. If you come to our website from a tagged link, your browser keeps the tag for 30 days. Then a tap on a trial or template button later still shows where you came from. The tag stays in your browser. It is not an ad tag. Our website has no ad tags right now. An ad tag is a bit of code from an ad company. It can see the pages you open and what you tap. If we ever add ad tags, we will change this page first. We will name each one here.

Your browser can send a signal that asks sites not to track you. There are two kinds. One is Do Not Track. The other is Global Privacy Control. We have no ad tags, so there is nothing for the signal to turn off.

7. Keeping and deleting

Your data stays as long as your account does. When you leave, we hold it 30 days in case you come back, then delete it. If your board pauses with no card, we hold it 90 days. Then we delete it. If your board pauses because your card didn't go through, we hold it 90 days. Then we delete it. If you ask us to check in when you cancel, we keep a short note for 90 days. It has your email, shop name, the day you left, why you left, your stop count and your downtime cost. We use it only to email you. Then we delete it too. After you leave, we keep one small record for 3 years. It has the days you started and left, a scrambled copy of your email, and the code Stripe gives your card. It has no card number. It is how we know a shop has had its free month and its money back. When you add a card or tap Start my plan, we keep a note of what the page said and when you tapped. For a card, it also has your IP address and the kind of browser. We keep the note 3 years, even if you leave. It shows what you agreed to. We delete the code from an ad or a link 90 days after it first reaches the app. We delete the note of a tap on the first 20 shops' button 30 days after the tap. We keep the demo note for 30 days. Then we delete it. If you start a board, your account keeps the note. Backups roll off on our database host's own schedule after that. Resend keeps the emails of people who asked us to stop. That way we never write to them again. Email us any time and we'll delete it sooner, or send you an export first.

8. Security

Data is encrypted in transit and at rest, and the floor link is an unguessable token you can replace from Account at any time. If we ever have a breach that affects you, we tell you.

9. Kids

BreakdownBoard is a business tool, not for children under 13.
